Time Off
Time Off
Manage vacation, sick days, and other time-off types for your team. Staff can request time off from the app or the field tech cockpit, and managers approve or deny requests.
Requesting time off
For team members
- Navigate to Time Off (or tap Time Off in the field tech cockpit).
- Click Request Time Off.
- Select the type (e.g. Vacation, Sick, Personal).
- Choose the start date and end date (defaults to the same day for single-day requests).
- Enter hours requested (defaults to 8).
- Optionally add a reason.
- Submit.
Your manager receives an email notification about the pending request.
For managers
Managers with the Time Off Approve permission can also submit requests on behalf of team members and optionally auto-approve them immediately.
Reviewing requests
Managers see all pending requests in the Time Off section:
- Open a pending request.
- Click Approve or Deny.
- If denying, provide a reason — the team member is notified via email with the explanation.
Approved requests automatically adjust the employee's balance.
Cancelling a request
Team members can cancel their own requests that are in Pending or Approved status. Cancelled requests restore the deducted balance.
Time-off types
Set up the types of leave your company offers:
- Go to Time Off → Types.
- Click + New Type.
- Enter:
- Name (e.g. "Vacation", "Sick Leave")
- Is Paid — whether this type counts as paid time off.
- Accrual rate — hours accrued per period (e.g. 6.67 hours/month for ~80 hours/year).
- Accrual period — Monthly, Biweekly, Annually, or None (for non-accruing types like bereavement).
- Max balance (optional) — cap on total accrued hours.
- Save.
Balances
View and manage balances from Time Off → Balances:
- See each team member's accrued hours and used hours for every time-off type.
- Adjust balances manually if needed (e.g. for tenure bonuses or corrections).
- Run accruals to process the current period's accrual for all employees.
Tips
- Set up your time-off types before inviting your team so balances start tracking from day one.
- Use the "None" accrual period for one-off leave types like bereavement or jury duty.
- Review balances quarterly to make sure accruals and usage look correct.
