Crews
Crews
Crews let you organize team members into groups that work together. Assign a schedule template to a crew and every member inherits it. Crews also make it easier to apply schedule overrides, assign jobs, and manage daily routes.
Creating a crew
- Go to Crews from the main menu.
- Click + New Crew.
- Enter a name (e.g. "North Crew", "Team B") and an optional description.
- Click Save.
Adding members
From the crew's detail page:
- Click Add Member.
- Select a team member from the dropdown (only active staff are shown).
- Choose their role:
- Member — standard crew member.
- Leader — crew leader, typically responsible for communication and quality on-site.
- Click Add.
Removing and changing roles
- To remove someone, click Remove next to their name.
- To change a member's role (e.g. promote to leader), click their current role and select the new one.
Deactivating a crew
If a crew is no longer active:
- Open the crew and click Edit.
- Uncheck Active.
- Save.
Deactivated crews don't appear in assignment dropdowns but their historical data is preserved.
Service category qualifications
Crews can carry qualifications for service categories. The route planner and calendar use these rules when assigning work: a job whose line items require categories the crew is not qualified for may be skipped or flagged with a scheduling warning. Keep crew qualifications aligned with the trucks and equipment you run.
How crews integrate with other features
- Staff Scheduling — assign a shift template to a crew and all members follow it. See Staff Scheduling.
- Schedule Overrides — apply a day off or modified hours to an entire crew at once.
- Weekly Schedule View — see crew membership alongside each tech's hours.
- Route optimization — daily route drafts assign stops to techs and crews; you can also Form Crew for an ad-hoc multi-person vehicle for a single day. See Route Optimization and Ad-Hoc Crews.
Tips
- Keep crews small enough to fit on one truck or van — this maps naturally to your daily route groups.
- Assign a leader to each crew so there's a clear point of contact in the field.
- A team member can belong to one crew at a time.
