Chemical Application Customer Notices
Chemical Application Customer Notices
Many states require you to notify customers before and/or after applying chemicals to their property. Chemical Tracking includes built-in notification support that automates this communication by email and (optionally) text message.
Flagging which services are treatments
Notices are driven by your service categories. A job only counts as a chemical treatment when one of its services belongs to a category you have flagged as a chemical application.
- Go to Settings → Services
- Edit a service category (or create one)
- Turn on Chemical application / treatment
- Optionally set a Default re-entry (hours) and a Re-entry note — these appear in the pre-application notice before any product is logged
Any service in a flagged category will mark its jobs as a chemical treatment automatically. Flagged categories and their services show a Chemical badge.
When you turn the flag on (or off) for a category, existing upcoming and in-progress jobs are updated immediately, not just new ones.
Pre-Application Notice
When enabled, customers receive an email (and SMS, if turned on) before their scheduled treatment.
What it includes
- Scheduled date
- The treatment / service name
- Re-entry caution — the real interval if the category sets one, otherwise a general "keep off until dry" caution
- Your company contact info
How to enable
- Go to Settings → Chemical Tracking
- Toggle Pre-application notice to on
- Set the number of hours before the job to send (default: 24 hours)
When it sends
The notice is triggered when:
- The job includes a service in a chemical-flagged category (or a chemical application has already been logged)
- The job is scheduled in the future, within the configured notice window
- The current time is inside your allowed send window (see Quiet hours below)
- The customer has not opted out of chemical notices
Each customer is notified once per job. If you have no chemical-flagged categories, the settings card shows a reminder, because pre-application notices will never fire without one.
Post-Application Notice
After your technician completes a job and logs chemical applications, customers automatically receive a summary.
What it includes
- Products applied (names only — no internal compliance details)
- Re-entry interval (hours to stay off treated areas)
- Re-entry expiration time (e.g., "until 6:00 PM today")
- Link to Safety Data Sheet (SDS) if available
- Your company phone for questions
How to enable
- Go to Settings → Chemical Tracking
- Toggle Post-application notice to on
The notice sends shortly after a job with logged chemical applications, on the next notification run within your allowed send window.
Text message (SMS) notices
Email is always sent. To also send notices by text:
- In Settings → Chemical Tracking, turn on Also send notices by text message
- SMS requires a plan that includes texting and a 10DLC-registered phone number. If either is missing, the settings card warns you and notices fall back to email only.
- Text notices only go to customers who have consented to SMS.
Quiet hours
Use the Only send between times to set the window (in your local time) when notices may be sent — the default is 8:00 AM to 8:00 PM. Notices that come due outside this window are held and sent on the next run inside it. This applies to both email and SMS.
Preview and test
Open Preview notice & send a test to myself in the Chemical Tracking settings to see example copy and send a sample pre- or post-application email to your own account.
Reliability
- Each notice is de-duplicated so customers are not contacted twice for the same job.
- If an email repeatedly fails to send (for example, a bad address), the system stops retrying after three attempts and logs a warning. The job's chemical card shows a Failed badge.
Timing details
A few things worth knowing about when notices go out:
- Pre-notices are scheduled by date, not exact hour. The "send before" hours setting determines how many days ahead a treatment is looked at. A job scheduled today or tomorrow is included regardless of its time of day.
- One pre-notice and one post-notice per job. If you reschedule a chemical job to a new date, the customer is not re-notified of the new date. If you log a second application on the same job on a later day, it does not generate an additional post-notice.
- Quiet hours delay, they do not cancel. A notice that comes due during quiet hours is sent on the next run inside the allowed window, not skipped.
Customer Opt-Out
Customers can opt out of chemical notices through:
- The unsubscribe link in the email footer
- The Chemical application notices toggle in their customer portal notification preferences (they can also turn it back on here)
When a customer opts out, both the email and the text message are suppressed for pre- and post-application notices. The system still records all application data — only the notifications are suppressed.
Service Contract Integration
Jobs generated from recurring templates and service contracts inherit the chemical flag from their services' categories. This means recurring lawn care or pest control contracts automatically trigger the right notifications without manual setup on each visit.
