Chemical Inventory Management

Chemical Inventory Management

Chemical Inventory tracks your product stock from purchase through application. Know exactly what's on each truck, when lots expire, and when you're running low.

Receiving a Shipment

  1. Go to Inventory → Chemicals and select the Lots tab
  2. Click Receive Shipment
  3. Select the product from your catalog
  4. Enter the lot number (from the packaging), vendor, purchase and expiration dates
  5. Enter the quantity received and cost
  6. Select which storage location to place it (warehouse, truck, etc.)
  7. Click Save

The stock level is automatically created at the selected location.

Storage Locations

Set up locations that represent where chemicals are physically stored:

  • Warehouse — your main storage facility
  • Truck — assign to a team member so the system knows what each tech has on their vehicle
  • Trailer — for equipment trailers

Go to the Locations tab to add, edit, or remove locations.

Truck assignment

When you assign a truck location to a team member, the system can automatically select the correct lot when that technician logs an application — using the oldest non-expired lot at their assigned truck location (FIFO).

Transferring Stock

Transfers move product between locations. Common uses:

  • Morning loading — transfer product from the warehouse to each tech's truck
  • End of day — return unused product from trucks to the warehouse
  • Rebalancing — move stock from one truck to another

Go to the Transfers tab and click Transfer Stock to move inventory. Select the source location, destination, product lot, and quantity. The system verifies sufficient stock at the moment of the transfer (so two simultaneous transfers can't overdraw the same location) and confirms both locations belong to your account before completing.

All transfers are logged with who, what, when, and where for a complete audit trail.

Stock Decrement

When a technician logs a chemical application in the field, the system automatically decrements stock from the oldest non-expired lot at their truck location. If no inventory is tracked (or the lot can't be determined), the application still saves without a linked lot.

Stock is only drawn down from a lot recorded in the same unit as the application (for example, an application measured in ounces only decrements ounce-denominated stock). If you record an application in a unit you don't stock that product in, the application still saves but no stock is deducted — keep your purchase and application units consistent so counts stay accurate. If an application exceeds the available amount, stock is set to zero and the over-application is logged for review rather than going negative.

Low-Stock Alerts

Configure a low-stock threshold in Settings → Chemical Tracking (default: 20%). When any product at any location drops below this percentage of its original purchase quantity, a notification chip appears on your dashboard.

Expiration Tracking

Lots nearing expiration (within 30 days) are highlighted in the Lots list. Expired lots are clearly marked and no longer selected for automatic decrement during applications.
