QuickBooks Online
Connect your QuickBooks Online account to keep your accounting in sync. Customers, invoices, payments, estimates, and service items are pushed to QuickBooks automatically — no double entry.
Requirements
- The QuickBooks capability must be included in your subscription plan. If Connect QuickBooks is hidden or disabled, upgrade or choose a plan that lists QuickBooks — see Plan & Billing.
Connecting QuickBooks
- Go to Settings.
- Click Connect QuickBooks.
- You're redirected to Intuit to sign in and authorize access.
- Select the QuickBooks company you want to connect.
- After authorization, you're redirected back with a confirmation message.
Your QuickBooks company name appears in settings once connected.
What syncs
| Data | Direction | When |
|---|---|---|
| Customers | To QuickBooks | When a customer is created or updated |
| Service items | To QuickBooks | When services are saved in your catalog |
| Invoices | To QuickBooks | When an invoice is created or updated (draft, sent, paid) |
| Payments | To QuickBooks | When a payment is recorded (succeeded status) |
| Estimates | To QuickBooks | When an estimate is created or updated |
Sync details
- Customers sync with name, email, phone, and billing address (from their first property).
- Invoices include line items with quantities, amounts, and references to your service catalog items when applicable. Tax totals are included.
- Payments are linked to their corresponding invoice in QuickBooks when available. The payment method (cash, check, credit card, etc.) is mapped automatically.
- Estimates sync with status mapping: Draft/Sent become Pending, Approved becomes Accepted, Declined becomes Rejected.
Initial sync
After connecting, you can run an initial sync to push all existing data to QuickBooks:
- All active customers
- Your service catalog
- Invoices in draft, sent, or paid status
- All succeeded payments
- Estimates in draft, sent, or approved status
This process runs in the background and may take a few minutes depending on your data volume.
Disconnecting QuickBooks
- Go to Settings.
- Click Disconnect QuickBooks.
- The connection is removed. Your QuickBooks data is not deleted — only new changes stop syncing.
Note: Disconnecting does not cancel your QuickBooks subscription. It only removes the link between the two systems.
Troubleshooting
- "QuickBooks not configured" / missing integration — Your plan may not include QuickBooks, or the integration needs to be enabled by support.
- Sync errors — If individual records fail to sync, the error is recorded. Check your connection status in Settings for details.
- Token expired — If your QuickBooks tokens expire, the system attempts to refresh them automatically. If the refresh fails, you'll need to reconnect.
Tips
- Connect QuickBooks early in your setup to avoid a large initial sync later.
- Keep customer names and emails consistent between the two systems to avoid duplicate records.
- Check your sync status in Settings periodically to catch and resolve any errors.
