Stripe Payments Overview

Stripe Payments Overview

Stripe appears in two separate places — don't confuse them:

Flow What it pays for Where you manage it
Stripe Customer Portal (via Manage Billing) Your Grunlo subscription (platform SaaS invoice) Linked from Plan & Billing
Stripe Connect Your customers' invoice payments landing in your merchant account Connecting Stripe under Settings

This article focuses on customer payments through Connect.

How it works

  1. You connect a Stripe account to your business (see Connecting Stripe for setup steps).
  2. When you send an invoice, a Pay Now button is included.
  3. The customer clicks the link, enters their payment method, and pays.
  4. Funds are deposited to your bank account on Stripe's standard schedule (typically 2 business days).
  5. The invoice status updates to Paid automatically.

What Stripe Connect does

Stripe Connect is the technology that links your Stripe account to the platform. It allows:

  • Secure payments — customer payments are processed through Stripe and deposited directly to your bank account.
  • Automatic status sync — invoice payment status updates in real time via webhooks.
  • Refunds — issue partial or full refunds from the invoice detail page, processed through Stripe.

Payments in the customer portal

Customers logged in to the Customer Portal can see all their invoices and pay any outstanding balance. See Viewing Invoices & Paying Online.

QuickBooks sync

If QuickBooks is connected, payments sync automatically with the correct invoice reference and payment method. See QuickBooks Online.

Troubleshooting

Customers don't see a "Pay Now" button on their invoice. Make sure your Stripe account is connected and active in Settings → Integrations. If you recently connected, try resending the invoice.

A payment went through but the invoice still shows unpaid. Payment status syncs via webhooks and may take a few minutes. If the status doesn't update after 10 minutes, check your Stripe dashboard to confirm the charge succeeded, and contact support if needed.

A customer wants a refund. Open the invoice detail page and click Refund. You can issue a partial or full refund, which is processed through Stripe. The refund typically takes 5–10 business days to appear on the customer's statement.

Tips

  • Complete the full Stripe onboarding (business verification, bank account) to avoid payout holds.
  • Monitor your Stripe dashboard for any account restrictions or pending verification requirements.
  • If a customer reports they can't pay, verify that your Stripe account is active and in good standing.
  • See Connecting Stripe for setup, disconnection, and troubleshooting details.
