Customer Portal Overview

Customer Portal Overview

The customer portal gives your clients a self-service view of their account. They can see upcoming jobs, review invoices, approve estimates, and request new services — all without calling your office.

How customers access the portal

Customers log in using a magic link — a secure, one-time code sent to their email. No passwords to remember.

  1. The customer visits your business landing page and clicks Customer Login.
  2. They enter their email address.
  3. A six-digit login code is sent to their email.
  4. They enter the code and are logged in to their portal.

What customers can see

Once logged in, customers have access to:

  • Upcoming jobs — scheduled services with dates and descriptions.
  • Deferred visits — when the crew could not complete a scheduled day and the office must reschedule, the job may show a deferred state so customers know the visit did not finish as planned (copy varies by configuration).
  • Job history — completed work with photos and notes.
  • Invoices — current and past invoices with payment status.
  • Estimates — pending estimates they can approve or decline.
  • Request service — a form to request new or additional work.

Paying invoices

Customers can view and pay invoices directly in the portal. If Stripe is connected, a Pay Now button lets them pay with a credit card. See Viewing Invoices & Paying Online for details.

Approving estimates

When you send an estimate, customers can review and approve or decline it from the portal or from the email link. See Approving Estimates.

Leaving reviews

After a job is completed, customers can leave a star rating and comment. See Leaving Reviews.

Notifications and communication

Customers receive SMS and email notifications for appointment reminders, job updates, and invoices. They can manage their notification preferences within the portal.

Uploading photos

Customers can upload photos to their jobs (e.g. showing a problem area or site access instructions). Uploaded photos are attached to the job record and visible to your team. See Uploading Photos in the Portal.

Customizing the portal

As a business owner, you can customize what customers see:

  • Enable or disable the service request form in Settings.
  • Choose whether to show job photos to customers.
  • Your branding (logo, colors) is applied automatically.

Troubleshooting

A customer says they didn't receive a login code. Check that the customer's email address is correct on their profile. Login codes are sent to the email on file. Ask them to check their spam folder as well.

A customer can't find the portal login. The portal login link is on your public landing page. Share the direct URL with the customer: yourbusiness.grunlo.com and have them click Customer Login.

A customer says they can't see their jobs or invoices. The customer portal must be enabled on their customer profile. Open the customer record and make sure portal access is turned on.

Tips

  • Share the portal link with customers after onboarding so they know they can self-serve.
  • The portal reduces inbound phone calls for status checks and invoice lookups.
  • Enable the customer portal on customer profiles to give them access — it's not automatic for all customers.
