Asset & Equipment Tracking
Asset & Equipment Tracking
Keep tabs on your equipment — mowers, trucks, tools, and other assets. Track who has what, schedule maintenance, and generate labels for easy identification.
Adding an asset
- Go to Assets → + New Asset.
- Enter a name (required), such as "John Deere Z655 Mower".
- Optionally fill in:
- Asset type (category for filtering)
- Serial number, make, model
- Purchase date and purchase price
- Warranty expiration
- Location and notes
- Click Save.
An asset tag (a unique identifier) is generated automatically.
Asset statuses
- Available — not currently assigned, ready for use.
- Assigned — checked out to a team member.
- In Maintenance — undergoing repair or routine service.
- Retired — no longer in use.
- Lost — unaccounted for.
Assigning equipment to team members
From the asset detail page:
- Click Assign.
- Select the team member.
- The asset status changes to Assigned and shows who has it.
To unassign, click Unassign — the asset returns to Available status. Assignment history is preserved so you can see who's had the equipment over time.
Logging maintenance
Track repairs, inspections, and routine service:
- From the asset detail page, click + Log Maintenance.
- Choose the type: Routine, Repair, Inspection, or Other.
- Add a description (required) and optional details like cost, date, who performed the work, and next due date.
- Optionally check Set to In Maintenance to update the asset status.
Labels
Generate printable labels for your equipment:
- From any asset, click Print Label to get a label with the asset name, tag number, and a link back to its detail page.
- Use batch labels to print multiple labels at once by selecting assets from the list.
Tips
- Use asset types to categorize equipment (e.g. "Mowers", "Trucks", "Hand Tools") and filter the list quickly.
- Set next due date on maintenance logs to stay ahead of routine service intervals.
- Search by name, serial number, or asset tag to find equipment fast.
