Schedule Calendar

Schedule Calendar

The schedule calendar gives you a visual overview of all jobs for the week. Use it to see who's doing what, spot gaps, and quickly reschedule work.

Viewing the calendar

Navigate to Schedule to see the weekly calendar. Jobs are displayed by day (Sunday through Saturday) and sorted by scheduled time.

  • Use the week picker arrows to move between weeks, or click Today to jump to the current week.
  • Filter by staff to see only one team member's schedule, or choose Unassigned to find jobs that haven't been assigned yet.
  • Cancelled jobs are automatically hidden.

Rescheduling a job

To move a job to a different day:

  1. Drag the job card to the new date column.
  2. The job's scheduled date updates automatically.

Only jobs in Pending, Scheduled, or Deferred status can be rescheduled from the calendar. Jobs that are in progress or completed stay fixed. When you drag a Pending or Deferred job to a new date, its status automatically changes to Scheduled.

Validation — the calendar checks that the new date and assignee are valid (including service category qualifications for the job's line items). If something can't be placed, you'll see a warning instead of a silent move. Concurrent drags on the same view are protected so two quick moves don't overwrite each other.

When you drag a job to a new date, the customer receives an automatic notification (email and SMS) informing them of the updated schedule.

Reoptimize remaining (route optimization)

If your plan includes route optimization and your role can run optimizers, you can reoptimize the remainder of the day from the calendar after mid-day changes — for example after moving several jobs. This re-runs sequencing for what's left without requiring a full day replan. If the action does not appear, your plan or permissions may not include route optimization; see Plan & Billing and Route Optimization.

Multi-day jobs on the calendar

Jobs that span multiple days display each child day-job as a separate card on the calendar. Each card shows a "Day X/Y" badge (e.g., "Day 2/3") so you can see at a glance which part of the job falls on which date. The parent job itself does not appear on the calendar — only the individual day-jobs do.

Overdue jobs

Jobs that are past their expected completion time appear with a red badge on the calendar. This makes it easy to scan the week and spot work that needs attention. Overdue jobs may be auto-rescheduled depending on your lifecycle automation settings.

Deferred jobs

Jobs in Deferred status appear on the calendar with an amber badge and a dashed border to distinguish them from normally scheduled work. Deferred jobs remain visible on their originally scheduled date until they are rescheduled or returned to Pending.

You can drag a deferred job to a new date to reschedule it — this moves it back to Scheduled status and notifies the customer of the new date. Deferred jobs also appear on the dashboard's "Attention Needed" card so they don't get overlooked.

Auto-Fill Week

The Auto-Fill Week button uses route optimization to automatically place all pending jobs across the current week. Each job is assigned to the best day and tech based on location, qualifications, and workload. Preview the placements before confirming.

If you have daily scheduling automation enabled in Settings, this step happens automatically each morning — the button is still available for on-demand use.

Look for the ? icon next to buttons for a quick explanation of what each one does.

Tips

  • Use the calendar alongside Route Optimization to plan efficient daily routes after arranging the schedule.
  • Check for unassigned jobs at the start of each week to make sure nothing falls through the cracks.
  • The calendar respects your company's timezone setting, so dates align with your local business hours.
  • If jobs show qualification or window warnings when you move them, fix categories and qualifications or assign a different tech.
  • Enable zero-touch automation in Settings → Scheduling to skip the daily manual steps entirely.
