Permission Profiles

Permission Profiles

Permission profiles control what each team member can see and do. Beyond the built-in profiles, you can create custom profiles tailored to your team's needs.

Built-in profiles

Every account starts with three system profiles:

  • Admin — full access to all features, settings, and billing.
  • Office Manager — access to scheduling, customers, invoicing, and reports, but not account-level settings or billing management.
  • Field Tech — mobile-only access to their assigned schedule, job completion, and time tracking.

System profiles can have their permissions adjusted by an Owner, but they cannot be renamed or deleted. Only an Owner can change the permissions on a built-in profile.

The Owner role carries full access, including billing. To protect your account, only an existing Owner can assign the Owner role to someone, or edit, reset the password for, or deactivate another Owner.

Creating a custom profile

  1. Go to Settings → Permission Profiles.
  2. Click + New Profile.
  3. Enter a name (e.g. "Crew Leader" or "Sales Rep").
  4. Toggle each permission on or off based on what this role should access.
  5. Click Save.

Permissions are grouped by feature area (e.g. Scheduling, Billing, Team, Marketing, Inbox & Phone). If a feature isn't available on your current plan, those permissions are automatically disabled and cannot be toggled on — even if the toggle appears in the UI, the app enforces plan features on sensitive routes.

Plan-tied permissions (common examples)

Permission Typically requires plan feature
routes.optimize, route schedule views route_optimization
estimates.* estimates
invoices.* invoicing
attachments.moderate attachment_moderation
reports.view reports_basic
assets.* asset_tracking
marketing.intelligence.* service_intelligence
marketing.quote_optimization.* quote_optimization
property_intelligence.* property_intelligence
inbox.* (view/send/manage) conversations (and inbox.assign also needs inbox_assignments)
calls.* voice
phone_numbers.* dedicated_phone

Custom profiles require the custom profiles plan feature; without it, create/edit/delete for custom profiles is not available. See Plan & Billing.

Assigning a profile to a team member

When you invite a new user or edit an existing one in Settings → Team, select their permission profile from the dropdown. Changes take effect immediately on their next page load. The Owner role only appears in the dropdown for users who are themselves Owners.

Editing and deleting profiles

  • Edit a profile to adjust its permissions at any time. All users on that profile are updated automatically.
  • Delete a profile only if no users are currently assigned to it and it's not the last remaining profile.

Marketing and phone permissions

  • Marketing intelligence — marketing.intelligence.view / manage control access to rebook queues, campaigns, and related growth tools.
  • Estimate optimization — marketing.quote_optimization.view / manage control estimate analytics and price-assistant tools.
  • Inbox — inbox.view, inbox.send, inbox.assign, inbox.manage gate threaded SMS and workload (assignments require both plan and permission).
  • Calls — calls.view vs calls.listen: viewing call history vs playing recordings.
  • Phone numbers — phone_numbers.request vs phone_numbers.manage for requesting a dedicated line vs changing forwarding and messaging settings.

Tips

  • Create a "Crew Leader" profile that gives field access plus the ability to manage crew members and view schedules for the whole crew.
  • Audit profiles periodically — as you add features or change plans, new permissions become available that you may want to enable.
  • See Managing Your Team for how to invite users and assign profiles.
