Tax Calculation

Tax Calculation

Your estimates and invoices can calculate sales tax in two ways. Choose the one that matches how you bill today from Settings → Sales Tax.

1. Flat rate (default)

You enter a single tax rate (for example, 7.25%) and we apply it to every line item you mark as Taxable. This is the simplest option and works well if all your customers are in the same tax jurisdiction.

  • Fully included in your plan — no additional fees.
  • Configure the rate at Settings → Sales Tax → Default tax rate.
  • Override the rate on individual services by setting a Rate override % on that service.
  • Mark services as non-taxable (for example, labor-only items in states where that applies) by turning off the Taxable toggle.

2. Stripe Tax (automated)

If you operate across multiple cities, counties, or states, you can switch to Stripe Tax. Stripe evaluates each invoice or estimate against the destination address and returns the correct state, county, city, and special-district tax — no rate tables for you to maintain.

  • Requires an active online payments account (Stripe Connect). If you haven't connected one yet, finish Connecting Stripe first.
  • Pick a default Stripe tax code for your catalog, and optionally set a more specific code on each service.
  • We use the property address on the job, falling back to the customer address, when we ask Stripe for a rate.

Third-party fees

Stripe Tax is billed separately by Stripe, not by us. When you enable it:

  • Stripe charges its own per-transaction fee (published on Stripe's pricing page) for every calculation we make on your behalf.
  • The fee is collected directly from your Stripe balance or invoiced by Stripe — not charged to your account with us.
  • We minimize calls with caching and in-draft de-duplication, but you are responsible for the Stripe Tax usage your account generates.

If those fees are not acceptable for your business, stay on the flat-rate provider — everything else works the same way.

Per-service settings

Inside Settings → Service Catalog, each service has three tax settings:

  • Taxable — whether this service should be taxed at all.
  • Rate override % — (flat rate only) charge a different rate for this service than your account default. Leave blank to use the default.
  • Stripe tax code — (Stripe Tax only) the product tax code Stripe uses to classify this service. Leave blank to use your account default.

These values are frozen onto each line when an estimate or invoice is written, so editing a service later never silently changes the totals on old documents.

What shows up on the document

Every invoice and estimate records:

  • The tax provider that was used (flat or Stripe Tax).
  • The calculated tax amount and effective rate.
  • The per-jurisdiction breakdown returned by Stripe (when Stripe Tax is used).
  • The Stripe calculation ID so you can reconcile with your Stripe dashboard.

If Stripe Tax is temporarily unavailable when we draft a document, we fall back to your flat rate so your team can keep working. You'll see a non-blocking banner on the draft and a warning is logged for your team to review — simply re-save the draft after Stripe is healthy to refresh the breakdown.

Frequently asked questions

Who remits the tax to the state? You do. We calculate and surface the number, but collection and remittance are always your responsibility as the merchant of record.

Can I switch providers later? Yes. Toggling the provider only affects new calculations — documents already saved keep the provider and numbers they were calculated with.

Does my customer see the Stripe fee? No. Customers see the tax amount only. The Stripe Tax fee is an operating expense on your Stripe account.
