Creating & Sending Estimates

Creating & Sending Estimates

Estimates let you propose work and pricing to a customer before scheduling a job. Once approved, an estimate can be converted directly into a job and invoice with one click.

Creating an estimate

  1. Go to Estimates → + New Estimate.
  2. Select the customer (required) and optionally a property.
  3. Set Valid Until — defaults to 30 days from today.
  4. Add line items with a description, quantity, and unit price. At least one line item with content is required.
  5. Optionally set a tax rate (percentage applied to the subtotal).
  6. Add notes visible to the customer, or internal notes visible only to your team.
  7. Click Save.

Each estimate is assigned a number automatically (e.g. EST-0001). The estimate title is generated automatically from the line item descriptions and customer name — no manual entry needed.

Tiers and bundles

  • Generate tiers — when your workflow supports packaged options, you can generate tiered line-item bundles from the estimate builder so customers pick a good/better/best package.
  • Bundle suggestions — if Estimate Optimization is on your plan, the product may suggest complementary bundles based on your catalog and analytics (see Estimate Optimization & Price Assistant and Estimate Analytics).

Sending an estimate

From the estimate detail page, click Send Estimate. The customer receives an email with a secure link to view, approve, or decline the estimate online. No account or login is required on their end.

Note: The customer must have an email address on their profile. If it's missing, you'll be prompted to add one.

After sending, the estimate status changes from Draft to Sent.

Estimate statuses

  • Draft — created but not yet sent.
  • Sent — emailed to the customer, awaiting response.
  • Approved — the customer accepted the estimate.
  • Declined — the customer declined (they can include a reason).
  • Expired — the valid-until date has passed with no response.
  • Cancelled — you cancelled the estimate.

Editing an estimate

You can edit an estimate while it's in Draft or Sent status. Editing a sent estimate resets it to Draft, so you'll need to resend it for the customer to see the updated version.

Converting an approved estimate to a job

Once a customer approves an estimate:

  1. Open the estimate and click Convert to Job.
  2. A new job is created with the customer, property, and line items pre-filled (the title carries over from the estimate).
  3. If the estimate total is greater than zero, a draft invoice is also created automatically.
  4. Schedule the job and you're ready to go.

If you've already converted an estimate, clicking the button again takes you to the existing job.

Tips

  • Use estimates for larger or custom work where customers want to see pricing before committing.
  • Track your approval rate in the estimates list to gauge how your pricing resonates.
  • If a customer declines, check their reason — you may want to follow up with an adjusted offer.
  • Estimates sync to QuickBooks if the integration is connected. See QuickBooks Online.
