Chemical Tracking Is Here: Log Applications, Stay Compliant, Manage Inventory

Grunlo is field service operations software for landscaping, lawn care, and route-based businesses — this post is for owners and managers who apply chemicals to customer properties and want better records, simpler compliance, and real-time inventory visibility.

Today we are launching Chemical Tracking — a full-stack system for logging applications, managing product inventory, maintaining applicator credentials, and sending customer notifications. It is available now on the Business plan.

The problem: compliance shouldn't be this hard

If you run a lawn care, pest control, or pool service company, you know what happens when a state inspector asks for application records. You dig through a clipboard, squint at handwriting from three months ago, and hope the weather data your tech scribbled at 5 PM is close enough to what the conditions actually were at 10 AM.

Federal law (FIFRA) and most state regulations require that you document what was applied, how much, where, when, by whom, and under what conditions. The penalties for incomplete records range from fines to license suspension. And the paperwork burden falls on the people least likely to enjoy it — your technicians in the field.

We built Chemical Tracking so that your crew spends 15 seconds logging an application instead of 5 minutes filling out a paper form — and the record is more complete, more accurate, and permanently searchable.

What Chemical Tracking does

Application capture from the field

Your technician opens the job on their phone, taps "Add," selects the product, enters the quantity and area. That is the mandatory input. Everything else fills itself:

  • Product details — EPA registration number, active ingredients, signal word, and RUP status are snapshotted from your catalog
  • Weather — temperature, wind speed/direction, and humidity are captured automatically at application time
  • Applicator license — pulled from the tech's profile if you have license enforcement turned on
  • Application rate — pre-filled from the product's default, adjustable per application
  • Target and method — smart defaults from the product catalog, editable in the field

The whole thing works offline. If your tech is in a dead zone, the application queues locally and syncs when signal returns.

Product catalog with EPA lookup

Add products manually or look them up by EPA registration number. When you enter an EPA Reg #, Grunlo pulls the product name, active ingredients, and signal word from the federal database and pre-fills your form.

Each product in your catalog stores:

  • EPA registration number
  • Active ingredients with percentages
  • Signal word (Caution / Warning / Danger)
  • Restricted-Use Pesticide flag
  • Default application rate and method
  • Re-Entry Interval (REI) in hours
  • Safety Data Sheet (PDF upload)

Inventory management

Track every product lot from receipt to application:

  • Receive shipments — record vendor, lot number, purchase date, expiration, and quantity
  • Storage locations — warehouse, truck, trailer. Know where every product lives.
  • Automatic decrement — when your tech logs an application, stock levels update in real time using FEFO (First Expiry, First Out) logic
  • Low-stock alerts — configurable threshold triggers an email to admins when stock drops below your percentage (default: 20%)
  • Truck loading — transfer stock from warehouse to trucks with a quick form

Configurable compliance

Not every state has the same rules. Chemical Tracking gives you toggles, not mandates:

  • Applicator license enforcement — optionally require a valid license on file before a tech can log any application. If no license exists, the save is blocked with a clear error.
  • Posting-sign confirmation — prompt your tech to confirm they placed a yard sign
  • RUP gate — show a confirmation dialog when applying Restricted-Use Pesticides
  • Weather capture — automatically snapshot conditions (on by default; turn off if not needed)
  • Customer notices — pre- and post-application emails/SMS with product name, re-entry time, and SDS links

Customer notifications

Two optional notices:

  1. Pre-application — sent before the scheduled treatment. Tells the customer what day to expect service, which products will be applied, and what the re-entry time is.
  2. Post-application — sent after the application is logged. Includes products applied, re-entry expiration time, and links to Safety Data Sheets.

Both are controlled by a single toggle per notice type. Customers can opt out through their notification preferences.

Customer portal history

Your customers see every chemical applied to their property right in their portal — product name, date, target, area treated, re-entry time, and a link to the SDS. Fewer "what did you spray?" calls.

Pool water chemistry

For pool service businesses: record pH, free chlorine, total chlorine, alkalinity, CYA, calcium hardness, salt, TDS, and water temperature. Grunlo calculates dosing suggestions based on pool volume and ideal ranges. Readings are logged from the field tech app with the same offline resilience as chemical applications.

Reports and export

Filter applications by date range, applicator, or product. Export to CSV with full compliance detail — every column an inspector would ask for, including weather, license, EPA registration, and active ingredients.

How to get started

  1. Upgrade to the Business plan (or start a trial) — Chemical Tracking appears in Settings once active.
  2. Enable Chemical Tracking in Settings → Chemical Tracking. Toggle on the compliance features you need.
  3. Add your products — enter them manually or look up by EPA registration number.
  4. Your crew starts logging — the chemical panel appears in the field tech app on every job.

Setup takes about 10 minutes. Your first application record is permanent, timestamped, and inspection-ready.

Who it is for

Chemical Tracking is especially valuable if you:

  • Apply lawn care chemicals — fertilizers, herbicides, pre-emergents — and need records for state audits
  • Run a pest control operation — Restricted-Use Pesticides, applicator license requirements, and customer notification laws
  • Service pools — need to track water chemistry readings and chemical dosing across dozens of properties
  • Handle commercial accounts — where clients contractually require application records and SDS documentation

How it pairs with what you already have

  • Recurring jobs — recurring schedules auto-generate jobs; chemical tracking rides along with smart defaults from previous applications
  • Service contracts — multi-visit treatment programs trigger pre-application notices automatically before each contract-generated visit
  • Customer portal — customers see their full chemical history and can download SDS documents
  • Route optimization — optimized routes mean your crew arrives with the right products at the right time

Key takeaways

  • 15 seconds per application — product, quantity, area. Everything else auto-fills.
  • Weather captured at the moment — not recalled from memory at the end of the day.
  • Permanent, searchable records — inspection-ready from day one. Export anytime.
  • Inventory decrements automatically — stock levels stay accurate without manual tracking.
  • Low-stock alerts — never run out mid-route because you forgot to check the warehouse.
  • Offline-capable — dead zones don't block your crew from doing their job.
  • Configurable compliance — turn on what your state requires, leave off what it doesn't.

Frequently asked questions

What types of businesses benefit from Chemical Tracking?
Any field service business that applies products to customer properties — lawn care (fertilizers, herbicides), pest control, pool service, and commercial cleaning.
Does this replace my paper application logs?
Yes. Every application is logged digitally with timestamps, product snapshots, weather conditions, and applicator details — permanently stored and instantly searchable.
Is Chemical Tracking included in my plan?
Chemical Tracking is available on the Business plan. Trial users can see the feature in Settings but need an active Business subscription to log applications.
Can my technicians use it without cell service?
Yes. The field tech app queues applications when offline and syncs them automatically when connectivity returns.
